Inventory Sync Software

I have both my online OSCommerce store as well as a brick and mortar. I need a way to quickly and efficiently update my inventory between the online store and QB Pro Retail Version. I have seen this: http://www.magneticone.com/store/osCommerce.Modules/Store.Manager.for.osCommerce

 

But that is still manual, and the inventory piece says that there is a free trial, but it is not in the trial list. So my question is, who here has something that will sync both databases? I know this is available for ZenCart as I know another retailer that uses one for her online store.

 

Thoughts? Suggestions?

You can export your Quickbooks Pro inventory, using File->Utilities->Export->Lists to iff files->then check "items".

Open the file in Excel and you'll see that Quickbooks gives a unique REFNUM to each product. You'll need to manually add this REFNUM to every product (or product attribute) that you want to update.

Each time you need to do an inventory upload from Quickbooks, you'll need to export and upload to your site.

Are you talking about online and brick-and-mortar store(s) that draw from the same physical inventory, and don't want to oversell online, or are you talking about inventory reconciliation after a physical tally? For the first case, it's not simple to share inventory, because osC thinks it owns everything, as does the QuickBooks system. If you want both to draw on the same inventory, you might have to split each item in the warehouse or storeroom: "this side of the line is online inventory; that side is for the physical store". Run them as two separate systems, and if you notice one side running low, move inventory across the line and update both systems manually.

 

I would think that both system's inventories could be updated together (from a new program) any time you shift inventory "across the line" or receive a new product shipment. This could be a program independent of both osC and QB that feeds both systems the inventory changes. If it keeps its own database of product inventory, updated with sales figures from both osC and QB, it could even alert you to the need to reorder, or to shift inventory from one side to the other. That could also be useful for a warehouse feeding multiple physical stores (with or without an online store). I'm not familiar with QB and don't know if it could handle this by itself (not involving a new master inventory program).

 

In the long run, unless your product list is very small, I would think it would be worth the setup effort to build a master inventory system that tells the online and physical stores what they have available to sell, and to take steps to ensure that the inventories stay physically separate in the storeroom or warehouse. Maybe keep it on a tablet or laptop that you can update as you cruise the storeroom aisles shifting inventory, or restocking from a shipment. The existing osC and QB would take care of reducing their inventory counts -- you just need to bump them back up once in a while, or shift across the line.

 

Just some thoughts on this... I don't have actual experience in doing this.
