Rent company having problem..

We're renting out products to our coustumers, some of our units we only have one of or a few and when we run out of order they cant "buy" them from us. We have started a litle waiting line for our products where customers can email us and we type it in to a word document. This is not effective or safe in any way. Can anyone give me an idea of how to organise this. When we type in that the product is in stock anyone can order them and the customer in line is'nt allways the first one. Is there any addon where you can put an order into the database from the admin page.
